Business Services – Moving the UK arm of an international company to a new accounts system

The client

Hübner is an international group of companies, with 3,500 employees and 32 locations worldwide. Hübner UK Limited, based in Derby, is the UK arm of Hübner Group. Although part of a global organisation, Hübner UK is a small company with no internal accounts team.

The challenge

We were tasked with migrating Hübner UK Limited to the same accounts system that is used by the Hübner companies in Germany. This required our Business Services team to integrate all accounts systems and processes.

Hübner UK was previously using SAGE software, while the German companies used SAP. Our team had never used SAP before, so the first step for us was to attend an intensive, four-day training course on using the software in Germany. The course covered day-to-day posts and updates, month close and year-end adjustments.

How we helped

Our Business Services team learned how to use SAP and became confident users of the software. We then shared our knowledge with the team at Hübner UK, helping them to understand the different functions and processes involved with their new accounts system.

After Hübner UK’s successful transition from SAGE to SAP, our client requested our ongoing support with their accounts. Hübner’s internal team monitor the company’s stock and sales, while our Business Services team provide expert support in the following areas:

  • Completing the monthly accounts via on onsite visits to Hübner UK’s Derby office
  • Organising the daily input from our own offices
  • Preparing month before and sales invoices down
  • Sorting purchase orders and bank transactions
  • Logging payroll journals
  • Acting as the day-to-day contact for accounts queries for the German offices.

The results

Now that Hübner UK’s accounts system is integrated with the German companies’, standardisation has made the monthly accounts process much more efficient. Key steps have also been streamlined and automated to save time and reduce the likelihood of human error.

Previously, all figures would need to be exported and downloaded into a report on Microsoft Excel, then manually input into SAP. Since the migration, our Business Services team simply close the month and run transaction codes that start an overnight transfer of the figures directly onto their HUB.

Hübner UK now has plans to move its bank accounts to a SAP-compatible banking provider so they can also make payments through their new accounts system.
